For Retreats Using the RMERC Registration System
Every retreat at RMERC is unique (!), and details of each retreat can be found on the individual retreat listing pages. RMERC handles registrations for many (but not all) of the retreats, and the comments below apply ONLY to those retreats. FEES AND PAYMENTS
Do you charge a registration fee and is the fee refundable?
RMERC charges a nonrefundable registration fee when signing up for a retreat. The fee is $120 for retreats of 4 nights or less and $180 for retreats of 5 nights or more. The registration fee is applied toward the total cost of the retreat.
When is full payment due for the retreat?
The full amount for the retreat is due 60 days before the retreat. If you registered earlier than 60 days before the retreat, the balance will be automatically charged to your credit card at 60 days prior. Otherwise, within 60 days, the full amount is due at the time of registration.
Do you offer Early Bird Discounts?
Yes, an early bird discount of approximately 10% (plus or minus) is available for registrations earlier than 90 days before the start of the retreat.
How do I pay for my retreat?
Our reservation system only accepts payment by credit card (see below if a credit card will not work for you).
Can I pay for a retreat by check, EFT, or Paypal?
We do not accept checks. However, you can remit payment by Electronic Fund Transfer (EFT) from your bank account or via Paypal. Please Note: we must receive full payment for the retreat to accept these payments. To pay by EFT or Paypal, select ‘Alternate forms of payment’ during registration; after completing the registration, email [email protected] to work out payment details.
What is the refund policy if I cancel before the start of the retreat?
The registration fee is non-refundable. After full payment has been received (at 60 days before the retreat), the following refund policies apply:

- Cancellations received 60-30 days prior will get a refund of half of the final payment.
- Cancellations 30-7 days prior will get a refund of a quarter of the final payment.
- For cancellations inside of 7 days there will be no refunds.
SCHOLARSHIPS
RMERC accepts scholarship requests for all dana-based retreats (see RMERC Scholarship information here). Anyone with financial hardship is welcome to apply. Requests will be assessed on the basis of needs and fund availability. We ask that you request the lowest amount required to attend a retreat, so that we can offer support to as many people as possible. Please see scholarship details posted in individual program descriptions.
How do I apply for a scholarship?
To apply for a scholarship, select the scholarship option on the registration form and follow the instructions on the form. If applying for a scholarship, choose ‘Alternate Forms of Payment’ during registration (no payment is required). Then, please follow up with an email to [email protected] about your scholarship need, and we will be touch about the amount of the scholarship award; we will send you an invoice with the scholarship award included in the price. (If you decide to make a payment during the registration process, your payment will be non-refundable, even if you don’t get a scholarship award, so it’s best to wait.) Can I accept the scholarship award at any time up until the start of retreat?
The offer of a scholarship award is usually valid for 2 weeks, or immediately if the retreat is starting within 2 weeks (so that we can make sure funds are available for as many recipients as possible). Please be in touch with us if you are uncertain about whether to accept your award. Note that space must be available in the retreat for you at the time you accept your award.
Can you explain payments for scholarship recipients?
Scholarship recipients will receive an invoice showing payments due for the retreat. The registration fee is due within two weeks of receiving the award, or immediately if the retreat is in less than 2 weeks.
For full scholarships, half of the registration fee will hold your space, and the remaining half is due 30 days before the start of the retreat.
Are fees for scholarship recipients refundable?
Cancellations and refunds for scholarship recipients are the same as those for regular registrations.
If I register and pay the registration fee for a retreat, and also apply for a scholarship, can the registration fee be refunded if I do not receive the scholarship, or the scholarship is not sufficient to meet my needs?

RIDESHARE
The RMERC registration system includes a rideshare forum for each retreat. Participants will receive a link to the forum, and can indicate whether they need or can offer a ride.
